Privacy notice
Last updated: 21 October 2026
This notice explains how YargoForge Limited ("I", "me", "my") collects and uses your personal data when you visit my website, book an intro call, get in touch, or work with me.
I'm a fractional Head of Business Intelligence working with small and medium-sized businesses. I keep my data handling simple, and I only collect what I need.
1. Who I am
YargoForge Limited
167-169 Great Portland Street, 5th Floor, London, W1W 5PF
Registered in England and Wales, company number 17290579
Email: hello@yargoforge.co.uk
Website: www.yargoforge.co.uk
I am the "controller" of your personal data, which means I decide how and why it is used. Data protection registration with the ICO: ZC251520.
If you have any questions about this notice, or about your data, email me at hello@yargoforge.co.uk.
2. What personal data I collect
When you book an intro call
- Your name, work email address and phone number (if you give one)
- Your company name and website (if you give one)
- Your answers to the booking questions (your goals, current reporting setup and organisation size)
- Your preferred meeting tool and any notes you add
- The date and time of your booking
When you contact me
- Your name, email address and the content of your message, if you email me or use a contact form on my website
If I record or transcribe a call
- A recording and/or transcript of the call, which may include your voice, your name and anything you choose to tell me about yourself or your business
I will always tell you before I record a call and ask if you're happy with that. It is fine to say no.
If we work together
- Contact details for you and your colleagues
- Contract, invoicing and payment details
- Information I need to deliver the work (for example, access details for the systems I'm asked to support)
When you use my website
- This website does not use analytics, advertising or tracking cookies, and does not collect personal data through forms. My hosting provider may keep standard server logs (such as IP address and pages requested) for security and reliability.
- The booking page at /chat shows a Microsoft Bookings calendar. Anything you enter there is handled by Microsoft, as described in section 4, and Microsoft may set its own cookies when that calendar loads.
3. Why I use your data, and my lawful basis
| What I do | Why | Lawful basis (UK GDPR) |
|---|---|---|
| Handle your booking and prepare for the call | To respond to your enquiry and make the call useful | Legitimate interests (running my business and responding to people who contact me) |
| Review your booking answers to check the call is a good fit | To use my time, and yours, sensibly | Legitimate interests |
| Record and transcribe calls | To keep accurate notes of what we discussed | Legitimate interests, and I ask you at the start of the call. If you say no, I won't record. |
| Reply to emails and messages | To answer your questions | Legitimate interests |
| Follow up about my services | To get back to you where it is relevant to your enquiry | Legitimate interests, subject to the rules in section 7 |
| Provide services, send invoices and keep financial records | To perform our contract and meet legal obligations | Contract; legal obligation |
Where I rely on legitimate interests, I have considered whether those interests are outweighed by your rights, and I think the use is reasonable and limited. You can ask me about this at any time.
4. Who I share your data with
I don't sell your data. I use a small number of trusted providers to run my business, and they handle your data on my behalf:
- Microsoft (Microsoft 365, including Bookings, Outlook, Teams and OneDrive/SharePoint): for bookings, email, video calls, and storing recordings, transcripts and files
- Microsoft Azure (Azure Static Web Apps): to host this website
I may also share data where I'm legally required to (for example, with HMRC, law enforcement or my professional advisers).
5. International transfers
Some of my providers, including Microsoft, may process data outside the UK. Where that happens, they must use approved safeguards, such as the UK International Data Transfer Agreement or the UK Extension to the EU–US Data Privacy Framework, so your data stays protected.
6. How long I keep your data
If we don't end up working together:
| Data | How long I keep it |
|---|---|
| Call recordings and transcripts | Up to 90 days, then deleted (usually sooner, once I've written my notes) |
| Booking form answers, notes and contact details | Up to 12 months after our last contact, then deleted |
If we do work together:
| Data | How long I keep it |
|---|---|
| Contracts, invoices and financial records | 6 years after the end of the relevant tax year or contract, which is the usual requirement for UK businesses |
| Project notes and communications | For the length of our work together and up to 6 years afterwards, in case of queries or disputes |
| Call recordings and transcripts | Up to 90 days unless we agree otherwise |
I may keep your data for longer if the law requires it, or if I need it to deal with a legal claim. You can ask me to delete your data sooner, and I'll do so unless I have a good reason to keep it.
7. Marketing and follow-up
I only contact you about my services where it's relevant to an enquiry you've made, or where you've asked to hear from me. If I send you any marketing emails, I'll include a clear way to opt out, and I'll stop straight away if you ask. You can also email hello@yargoforge.co.uk at any time.
8. Keeping your data safe
I use sensible technical and organisational measures to protect your data, including account security on the Microsoft 365 platform, limited access (it's only me), and deleting data when it's no longer needed. No system is completely secure, but I take care to reduce the risks.
9. Your rights
Under UK data protection law, you have the right to:
- Be informed about how your data is used (this notice)
- Access the personal data I hold about you
- Correct anything that is inaccurate or incomplete
- Erase your data in certain circumstances
- Restrict how I use your data in certain circumstances
- Object to my use of your data where I rely on legitimate interests, and to direct marketing at any time
- Data portability, where it applies
- Withdraw consent at any time, where I rely on it
To use any of these rights, email hello@yargoforge.co.uk. I'll normally reply within one month. There's no charge, unless a request is clearly unfounded or excessive.
10. Complaints
I'd like the chance to put things right first, so please contact me at hello@yargoforge.co.uk.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
- Website: www.ico.org.uk
- Telephone: 0303 123 1113
11. Changes to this notice
I may update this notice from time to time. The latest version will always be on this page, with the "last updated" date at the top.
